Guardian PR LLC, operating the EventCredPro platform (“Guardian PR LLC,” “we,” “us,” or “our”), operates the EventCredPro platform (the “Service”). This Privacy Policy describes how we collect, use, disclose, and protect personal information when you use the Service, visit our website at eventcredpro.com, or otherwise interact with us.

We are committed to protecting your privacy and handling your data responsibly. Please read this policy carefully. By using the Service, you acknowledge that you have read and understood this Privacy Policy.

1. Information We Collect

1.1 Account & Organization Information

When you register for and administer an EventCredPro account, we collect:

  • User account details: Full name, email address, phone number, job title and password (stored in hashed form).
  • Organization details: Organization name, type, email, phone number, website, physical address (street, city, state, country), contact name and logo.
  • Team member information: Name, email, role and login activity for users invited to your organization.

1.2 Applicant & Credentialing Data

When media professionals or influencers apply for event credentials, we collect the following information as provided on the application form:

All Applicants

First name, last name, email address and phone number; photograph (if uploaded); application type (media or influencer); responses to custom form fields configured by the event organizer.

Media Applicants

Organization/publication name and media type (newspaper, magazine, TV, radio, blog, podcast, digital or other); position/job title; website URL; circulation/audience reach; previous coverage history and planned coverage; team size and equipment needs; press credentials URL and portfolio URL; social media handles and follower counts for: X (Twitter), LinkedIn, Instagram, Facebook, YouTube and TikTok.

Influencer Applicants

Content niche and primary platform; audience reach and engagement rate; website URL; past brand collaborations and planned content; audience demographics; media kit URL and content samples URL; social media handles and follower counts for: Instagram, TikTok, X (Twitter), LinkedIn, Facebook and YouTube.

1.3 Credential & Event Activity Data

During the credentialing and event process, we collect:

  • Credential status: Application status (pending, approved, declined, waitlisted, duplicate or other review states), credential type assigned (press, influencer, VIP, photographer, crew) and review notes.
  • Badge data: Generated QR codes linked to applicant records.
  • Check-in/check-out records: Timestamp, method (manual or QR scan) and sub-event location for each check-in.
  • Internal comments: Comments posted by team members on applications, including @mentions of other team members.

1.4 Email & Communication Data

We process email communications in two ways:

  • Automated notifications: We send transactional emails (registration confirmations, approval/decline notices, reminders) via SendGrid. We log the subject, content, status and timestamp of these emails.
  • Personal email integration: If an organizer connects their Google or Microsoft email account via Nylas, we access and store email messages (sender, recipient, subject, body text, attachments and thread identifiers) exchanged with applicants. This data is used to display email threads within the platform. We store the connected email address, provider type and email signature.

1.5 Payment & Billing Information

  • Billing data: We store a Stripe customer ID, subscription ID and plan information to manage your subscription. Payment card details are processed and stored exclusively by Stripe and are never stored on our servers.
  • Transaction history: Subscription plan, billing cycle dates and payment status.

1.6 Feedback Data

If you submit feedback through the in-app feedback form, we collect your name, email, feedback type (bug or improvement), subject, description, priority and the page or feature referenced.

1.7 Information Collected Automatically

When you access the Service, we automatically collect:

  • Device and browser information: IP address, browser type and version, operating system, device identifiers and screen resolution.
  • Usage data: Pages visited, features used, timestamps, clickstream data and referring/exit URLs.
  • Cookies and similar technologies: We use cookies, web beacons and similar tracking technologies to operate and improve the Service. See Section 7 for details.

1.8 Information from Third Parties

We may receive information about you from third-party sources, including:

  • Email providers: Google and Microsoft (via Nylas) when you connect your email account.
  • Payment processor: Stripe provides us with subscription status and billing events.
  • Analytics providers: Aggregated usage data from analytics services.

2. How We Use Your Information

We use the information we collect for the following purposes:

Legal ComplianceTo comply with applicable laws, regulations, legal processes, or enforceable governmental requests.
Marketing (with consent)To send promotional communications about EventCredPro, where permitted by law and subject to your opt-out preferences.

3. How We Share Your Information

We do not sell your personal information. We may share your information in the following circumstances:

With Event Organizers: If you are an attendee, the Organizer of the event you are attending may access your credentialing information as necessary to manage the event. Organizers are responsible for their own use of attendee data in compliance with applicable law.

With Service Providers: We share information with trusted third-party vendors who perform services on our behalf, such as hosting, payment processing, analytics, and customer support. These providers are contractually obligated to use your information only as necessary to perform services for us and to maintain appropriate security measures.

For Legal Reasons: We may disclose information if required by law, subpoena, court order, or governmental regulation, or if we believe in good faith that disclosure is necessary to protect our rights, your safety, or the safety of others, investigate fraud, or respond to a government request.

Business Transfers: In the event of a merger, acquisition, reorganization, bankruptcy, or sale of all or a portion of our assets, your information may be transferred as part of that transaction. We will provide notice before your information becomes subject to a different privacy policy.

With Your Consent: We may share your information for other purposes with your explicit consent.

4. Data Retention

We retain your personal information for as long as your account is active or as needed to provide the Service. We also retain information as necessary to comply with legal obligations, resolve disputes, enforce our agreements, and for legitimate business purposes such as maintaining security and preventing fraud.

Event and credentialing data is retained for the duration of the Organizer’s account plus an additional 12 months following account termination, unless the Organizer requests earlier deletion or a longer retention period is required by law. Organizers may request deletion of event data at any time by contacting us.

5. Data Security

We implement commercially reasonable administrative, technical, and physical safeguards designed to protect your personal information from unauthorized access, use, alteration, and disclosure. These measures include encryption of data in transit and at rest, access controls, regular security assessments, and employee training.

However, no method of electronic transmission or storage is completely secure. While we strive to protect your information, we cannot guarantee absolute security. You are responsible for maintaining the security of your account credentials.

6. Your Rights & Choices

6.1 Access, Correction & Deletion

You may access, update, or correct your account information at any time by logging into your account. You may request deletion of your personal information by contacting us at admin@eventcredpro.com. We will respond to your request within 30 days, subject to any legal obligations that may require us to retain certain information.

6.2 Marketing Communications

You may opt out of promotional emails by clicking the “unsubscribe” link in any marketing email or by contacting us directly. Please note that even if you opt out of marketing communications, we may still send you service-related messages necessary to the operation of your account.

6.3 Cookies

Most web browsers allow you to manage cookie preferences through browser settings. You may disable or delete cookies, though doing so may affect the functionality of the Service. See Section 7 for more details.

6.4 California Residents (CCPA/CPRA)

If you are a California resident, you have additional rights under the California Consumer Privacy Act, as amended by the California Privacy Rights Act (“CCPA/CPRA”), including the right to know what personal information we collect, the right to delete your personal information, the right to correct inaccurate personal information, and the right to opt out of the sale or sharing of your personal information. As noted above, we do not sell personal information.

6.5 European Economic Area, United Kingdom & Switzerland Residents

If you are located in the European Economic Area, the United Kingdom, or Switzerland, you may have rights under the General Data Protection Regulation (“GDPR”) or equivalent local legislation. Where we process your data as a controller, our legal bases for processing include performance of a contract, legitimate interests (such as improving and securing the Service), compliance with legal obligations, and, where applicable, your consent.

7. Cookies & Tracking Technologies

We use the following types of cookies and similar technologies:

8. Children’s Privacy

The Service is not directed to individuals under the age of 16, and we do not knowingly collect personal information from children under 16. If an Organizer’s event involves minors, the Organizer is responsible for obtaining appropriate parental or guardian consent before collecting any personal information of minors through the Service. If we learn that we have collected personal information from a child under 16 without appropriate consent, we will take steps to delete that information promptly. 9. Third-Party Links & Services

The Service may contain links to third-party websites or integrate with third-party services. This Privacy Policy does not apply to those third parties. We encourage you to review the privacy policies of any third-party services you access through or in connection with the Service.

10. International Data Transfers

The Service is operated from the United States. If you access the Service from outside the United States, your information may be transferred to, stored, and processed in the United States or other jurisdictions where our service providers operate. These jurisdictions may have data protection laws that differ from the laws of your country. By using the Service, you acknowledge and consent to the transfer of your information as described in this Privacy Policy. Where required by applicable law, we implement appropriate safeguards for international data transfers.

11. Limitation of Liability

TO THE MAXIMUM EXTENT PERMITTED BY APPLICABLE LAW, GUARDIAN PR LLC SHALL NOT BE LIABLE FOR ANY UNAUTHORIZED ACCESS TO, OR ALTERATION, THEFT, LOSS, OR DESTRUCTION OF, YOUR PERSONAL INFORMATION, WHETHER HELD BY US OR BY OUR THIRD-PARTY SERVICE PROVIDERS, TO THE EXTENT SUCH EVENTS OCCUR DESPITE COMMERCIALLY REASONABLE SECURITY MEASURES. IN NO EVENT SHALL GUARDIAN PR LLC’S LIABILITY FOR ANY DATA BREACH OR SECURITY INCIDENT EXCEED THE TOTAL AMOUNT OF FEES PAID BY YOU IN THE TWELVE (12) MONTHS PRECEDING THE INCIDENT. FOR FULL DETAILS ON LIMITATIONS OF LIABILITY, PLEASE REFER TO THE TERMS OF SERVICE.

12. Governing Law & Dispute Resolution

This Privacy Policy and any disputes arising out of or related to it shall be governed by and construed in accordance with the laws of the State of Georgia, without regard to its conflict-of-law principles. Any disputes related to this Privacy Policy shall be resolved in accordance with the Dispute Resolution provisions set forth in our Terms of Service, including the requirements for informal resolution, mediation, and binding arbitration in the State of Georgia, and the class action waiver and consent to jurisdiction and venue therein.

13. Changes to This Privacy Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, technologies, legal requirements, or other factors. If we make material changes, we will notify you by updating the “Effective Date” at the top of this page and, where appropriate, by providing additional notice through the Service or via email. We encourage you to review this Privacy Policy periodically.
